The Gatineau River Yacht Club (GRYC) is a family-oriented, volunteer-driven, co-operative, not-for-profit corporation. To sustain the wide range of activities and services offered at the Gatineau River Yacht Club (GRYC), members are expected to do two things as per the club's By-laws:
Although the word "volunteer" has traditionally been used, contributing service hour time is a requirement for all members, except Honorary and Retaining Members. If you have a particular skill, interest or idea, please contact the Club Manager or Secretary—we welcome creative contributions that meet club priorities. Q4. How do I sign up to contribute time?All service hours (volunteer) are managed through the online volunteer management system, iVolunteer where most opportunities are listed. Specialized opportunities may also be announced by email. If you'd like to contribute in another way, please reach out to the Club Manager or Secretary before doing any work to ensure your efforts align with club needs. Members are also encouraged to keep their membership profile up to date, including indicating your interests and special skills. This helps organizers recruit members for their activities and to send targeted communications. What if I don't meet the minimum time requirement?Members who do not fulfill the service hour (volunteering) time requirement will be required to compensate the club financially (pro-rated based on the penalty amounts approved annually by members at the AGM). This option is available a maximum of three times per membership. Failure to meet the requirement for a fourth time may result in a membership review. Q6. How does the Board handle cases of non-compliance?At the end of December, a report generated from iVolunteer identifies members who did not meet their service hour obligations. The Secretary contacts these members, invites an explanation, and then refers the case to the Membership Committee. The Membership Committee reviews each situation and makes a recommendation to the Board, ideally before the spring membership renewal process. Q7. What's the deadline to request a waiver or appeal a penalty?Members must submit a waiver or appeal within 30 calendar days of receiving notice from the Board Secretary. Late appeals are considered only in exceptional cases. Q8. Are exemptions possible?Yes. Members may request a waiver or reduction due to extenuating circumstances beyond their control, such as:
Please note that some tasks (such as administrative or research work) that contribute to service hour requirements can be done off-site and/or off-season. If you anticipate being unable to meet your annual service hour requirement and wish to request an exemption, please email the Secretary as soon as possible. Briefly justify why, and for how many hours, you are seeking an exemption. All requests will be reviewed on a case-by-case basis. The Board will let you know its decision. Q9. I contributed service hours (volunteered) on my own without using iVolunteer or consulting anyone. Does that count?Unfortunately, no. Uncoordinated or "freelance" service hours (volunteering) cannot be verified and may not align with club priorities. To ensure your time is recognized, always register through iVolunteer or consult the Club Manager or a Board Member beforehand. Q10. Can I apply last year's extra service hours (volunteering) from past years toward this year's requirement?No. Each year is treated separately to ensure consistent member participation. Q11. I am very busy with work and family this year. Can I defer my service hour requirement (volunteering) to a future year?No. The club depends on annual participation from all members. Deferrals would disrupt current programming, complicate record-keeping, and could create an unmanageable surplus in future years. However, the club offers flexible and off-site opportunities to accommodate members with limited time. If you need help finding options that fit your schedule, contact the Club Manager. Retaining membership is an option for members who are unable to participate fully in the club for up to four consecutive seasons. This option suspends your membership with a reduced fee until you are ready to resume full membership. Q12. Can one member complete another member's service hours (volunteering)?No, except in exceptional last-minute cases where the member cannot fulfill their commitment. If this occurs, the Club Manager or Secretary must be informed in advance to obtain pre-approval. Q13. Can I transfer my extra service hours (volunteering) to another member?No. Each member is responsible for meeting their own membership requirements. Q14. I signed up for an event but need to cancel. What should I do?
Q15. If the club cancels an event I signed up for, do I still get credit?Yes—if the cancellation occurs while you are onsite to support an event (such as a sailing race cancelled due to no wind). If the cancellation occurs earlier, you'll be expected to find another opportunity to meet your time commitment. Q16. Is food provided at Club events free for service-hour (volunteer) providers?Food at Bridge-down and Bridge-up events is provided free of charge to all participants. For all other events (such as Club Nights), service-hour providers (volunteers) who wish to eat are expected to purchase tickets in advance, like other attendees. However, if surplus food remains after all ticket holders have been served, the Event Manager may, at his or her discretion, offer the surplus to service-hour providers free of charge.
